OperationsOpen Threads — Unresolved Items
Paris standardisation — bringing back into full TwM ops cadence. Late-recruitment pattern needs addressing; Raj leading with Caroline.
Cohort launch timing — Q2 (April–May) gaining consensus as better window for CL availability. Stockholm exploring April return. Avoid launching within one month of summer break.
Circle platform engagement — structural problem, not city-specific. ~19% onboarding completion. Moderator additions discussed to allow community-initiated events.
Vision 2030 co-creation — need for a shared 4-year direction from Shivangi + RLs. Agreed to develop collaboratively, not founder-down only.
CL activation for new cohorts — 51% of members open to CL role but no activation mechanism exists. Q2 flagged as better window to ask due to lower personal load.
Scholarship Applications
Application Process — Simple & Transparent
1
Mentee Applies
Mentee submits a scholarship application via the standard form. Applications land in the scholarship sheet (linked below).
2
CL Interviews
The Cohort Leader conducts a short interview with the applicant after receiving the application. CLs assess fit, need, and motivation.
3
RL Reviews & Approves
You as Regional Lead review the CL's recommendation and make the final approval decision. No approval = no code issued.
4
RL Submits Task to Backoffice
Once approved, submit a task request to Asha with the applicant's name, email, and city. Asha issues the discount code and sends the confirmation or rejection email.
Submit Task Request →
✕
If Rejected
RL submits the same task request noting "rejection". Asha sends the rejection email. Keep the process respectful and prompt — applicants should hear back within one week of interview.
Principles
Keep the process simple and transparent — applicants should understand exactly where they are in the process at all times.
Scholarships are for mentees who demonstrate genuine need and strong motivation — not a default discount.
CLs interview first, RLs approve — this keeps quality consistent and ensures the RL is always in the loop before backoffice acts.
Backoffice (Asha) issues the code and sends all applicant emails — CLs and RLs do not send codes or confirmations directly.
All scholarship decisions are logged centrally in the sheet below — never communicated via WhatsApp alone.

✓ Good — What's working
Basel: equal mentor/mentee balance — rare and replicable
Scotland: first-year cohort hit 30 — strong CLs, trusted the process
London: Raj's network delivered ~25 of 30 participants
Paris: historically zero budget spend — sponsor-funded events
Stockholm: strong demand, closed successfully
Cross-city physical gatherings building team cohesion

△ Difficult — Friction points
Paris: last-minute recruitment pattern; satellite operating model history
CL availability: Q1 timing conflicts with personal/professional load
Circle: ~66% barely use platform — engagement structural problem
Referral attribution: CL-driven referrals not being tracked
Scotland: mentee recruitment harder than mentor side in new city

◆ Different — Opportunities
Barcelona: first bilingual Spanish/English cohort — new model
AI-driven intake analysis: mining mentor/mentee mismatch from data
Q2 cohort launches: April/May gaining consensus as better timing
Circle moderators: enable community-initiated events without CT overhead
Copenhagen: potential Sept 2026 or 2027 depending on CL readiness
Thrive Certified: paid mentor accreditation — new income stream
